About ROAG

Tired of filling in entry forms at events, and providing the same information over and over again? Ever get incorrect results, or no result at all? What about delayed prize giving at the end of a long day due to admin hassles??

That’s what ROAG aims to sort out. Please read further and discuss with your mates.

  • WHAT IS ROAG
    • ROAG is a web based data management system for utilisation in the administration of events, initially non mainstream sports like Mountain Biking.
    • Participants of various events will be asked to provide their personal details on a website – ONCE OFF ONLY!
    • This information will be used for event administration for ROAG affiliated events.

  • WHO IS ROAG
    • ROAG stands for RACE ORGANISERS ADMIN GROUP.
    • ROAG was formed by the organisers of the Karkloof, Illovo Eston and Hill2hill mountain bike events, together with the Committees of those events.
    • This group are all involved in mountain biking and other sports, in either administration or active participation.
    • The founder members of ROAG will oversee and control ROAG, and will appoint a management team, including administrators, to run the day to day functions of ROAG.

  • WHY MUST I REGISTER WITH ROAG
    • The organisers of the Karkloof, Illovo Eston, Hill2hill events and approx 8 other events at present, are ALL using the ROAG system in 2009.
    • In order to do the following in ANY of these events:
      1. Enter Online
      2. Late Enter
      3. Be seeded and batched
      4. Be timed
      5. Receive the offered medical and event backup services
      6. Receive information via email and newsletter
    • Riders will be COMPELLED to register on ROAG
    • NO registration on ROAG – NO pre entry and NO support services.
    • By registering on ROAG, you are also assisting hugely with the administration and growth of non mainstream sports.

  • WHAT DOES ROAG COST
    • Registering on ROAG as an individual costs ZERO!!!
    • That’s right, NO registration costs.
    • CLUB ROAG is also a “FREE” club – NO registration costs, jut click the “Club ROAG” box.
    • Should events wish to use the ROAG administration system and data, this will be at a nominal fee dependant on the extent of work required from the ROAG administration team.

  • HOW DOES ROAG WORK
    • The ROAG administrators will manage a website, including the database.
    • Participants in ROAG administered events will be required to enter their personal details onto the ROAG database. This is done by:
      • Logging on to www.roag.co.za
      • Clicking the “register now” button
      • Entering the required information as per the database
      • Choosing (or letting the system generate one for you) a ROAG number.
      • Validating your ROAG information when prompted to do so.
      • You will then be “ROAG REGISTERED”

  • WHAT IS THE ROAG NUMBER
    • The ROAG number is a “unique identifier” that will be used to identify a person at ALL ROAG administered events.
    • The ROAG number will be used to identify a person for:
      • Online entries
      • Late entries
      • Timing
      • Seeding
    • Ultimately the ROAG number will become a riders “Bike number board” for ALL events.

  • WHAT WILL THE ROAG DATABASE BE USED FOR
    • Events that subscribe to the ROAG system will have access to the ROAG data.
    • This data will be used for:
      • Online entries
      • Late entries
      • Timing
      • Results
      • Seeding and batching
      • Medical emergencies

  • WHY DO WE NEED A ROAG DATABASE
    • At present there is NO comprehensive database of ALL mountain bikers.
    • There are separate databases of participants registered with various sports codes (mountain biking, road cycling, canoeing etc), but NO database of NON sports code registered participants.
    • Each event and organisation has their own “database” which is closely guarded.
    • Each database uses different criteria to identify the people on their database.
    • It is impossible to reconcile the different databases into one comprehensive and accurate database after each event.
    • Thus, at present, it is very difficult (read – impossible) to provide comprehensive and accurate information for entry and result purposes.
    • The ROAG database will be a comprehensive database of all people registered with official sports bodies AND (importantly) those that are NOT officially registered.

  • WHAT SERVICE DOES ROAG OFFER
    • A comprehensive range of administration and information services will be offered. These include:
      • Informative website which will host:
        • ROAG database
        • Up to date event calendars
        • Event details, including online entry information.
        • News
        • Blogs
        • Seeding
      • Administrative services, including:
        • Late Entry services
        • Event Office
        • Secretarial and administrative services
        • Data
        • Seeding and batching.
        • Marketing services
        • Newsletters
      • ROAG number boards
      • Time Keeping
      • Results and distribution of results.

  • WHO CAN USE ROAG
    • ANYBODY!!
    • ALL individuals, whether they are active sports people or not are encouraged to register on ROAG
    • After all it costs NOTHING.
    • ANY event organiser, of ANY sport can use the ROAG administration system or any of the services provided by ROAG.
    • There is NO restriction or limitation in respect of sports codes or events.

  • ROAG – KZN MBC / SAMTB
    • HOW DOES ROAG AND THE OFFICAL CYCLING BODIES FIT TOGETHER
      • ROAG is NOT, under ANY circumstances, involved in the administration of any sport as a whole.
      • ROAG actively encourages ALL people to officially register with the governing body of their sport.
      • ROAG will not interfere with the policies and administration of any governing body.
      • ROAG has provided a “Club” (CLUB ROAG) to enable cost effective registration of mountain bikers with SAMTB.
      • ROAG events and ROAG administered events will be run, first and foremost in accordance with the rules and regulations of the official governing body of that sport.

  • ROAG / CLUB ROAG
    • WHATS THE DIFFERENCE BETWEEN ROAG and CLUB ROAG
      • ROAG is the web, data and administrative body.
      • CLUB ROAG is the “Virtual Club” that will be registered with various sporting bodies to enable “Club Members” the opportunity of registering themselves with the relevant sporting body.

    • IF I REGSITER WITH ROAG DO I HAVE TO JOIN CLUB ROAG
      • NO!
      • In order to participate in certain events and receive the administrative and support benefits offered at that event – you MUST be registered on ROAG.
      • But you do NOT have to join CLUB ROAG. You are welcome to join any other club in the country.
    • CAN I BE A MEMBER OF MORE THAN ONE CLUB
      • A far as CLUB ROAG is concerned, that IS possible.
      • However, you need to discuss this with the relevant authority at your other club.
